1. Introduction
These Terms & Conditions apply to privately booked Fit4Fun activities including before-school clubs, after-school clubs and holiday camps.
School-contracted curriculum or PPA provision may be governed by separate agreements with individual schools.
By booking a Fit4Fun service, the parent or carer confirms that they have read and accepted these Terms & Conditions.
Nothing in these terms affects your statutory consumer rights.
Consumer cancellation clauses must remain fair and reasonable under UK consumer law.
2. Booking
A child's place is not guaranteed until the booking has been accepted through the relevant booking system and any required payment has been made.
Fit4Fun primarily uses:
- ClassForKids for privately booked clubs and camps;
- Stripe for relevant card payments; and
- EEQU for HAF-funded bookings.
Parents and carers must provide accurate and current:
- child information;
- emergency contacts;
- medical information;
- allergies;
- additional needs;
- collection details; and
- any other information reasonably required to care for the child safely.
Fit4Fun must be informed of material changes.
3. Medical and Additional Needs
Parents must provide sufficient information about medical conditions, SEND, allergies, behavioural needs or other requirements that may affect participation.
Fit4Fun aims to be inclusive and will make reasonable adjustments where practicable.
Some needs may require discussion or an individual risk assessment before attendance.
Where essential emergency medication such as an inhaler or adrenaline auto-injector is required, Fit4Fun may be unable to accept the child into the session if that medication is unavailable.
4. Payment
Unless otherwise agreed, payment must be received by the stated deadline.
Failure to make payment may result in the place being released.
Where childcare vouchers, Tax-Free Childcare or another agreed payment method is used, sufficient time must be allowed for payment to reach Fit4Fun.
Third-party booking or payment charges are subject to the relevant platform's arrangements.
Fit4Fun also accepts Tax-Free Childcare and approved childcare voucher payments for eligible services. Parents and carers using these methods are responsible for arranging payment sufficiently in advance for the funds to reach Fit4Fun by the required payment deadline.
4. Holiday Camp Cancellations
Fit4Fun operates small, limited-capacity holiday camps and staffing, facilities and resources are committed based upon confirmed bookings.
Cancellations must be made at least three complete working days before the booked date to qualify for a refund. Working days are Monday to Friday, excluding bank holidays.
Where less than three working days’ notice is provided, there is no automatic entitlement to a refund, transfer or credit.
Where Fit4Fun is able to successfully reallocate the cancelled place to another customer, we will normally offer either a refund or the option to transfer the value of the booking to a future eligible date, less any genuinely unrecoverable booking or payment fees where applicable.
Where a place cannot be reallocated, payment will normally be retained.
Fit4Fun understands that circumstances sometimes change unexpectedly and may, at management’s discretion, offer a transfer or account credit even where the required notice has not been provided. Any such transfer or credit is offered as a goodwill gesture and does not create an entitlement for future cancellations.
No refund, transfer or credit will normally be provided where a child does not attend a booked session without notifying Fit4Fun.
6. Full-Week Holiday Camp Bookings
Full-week bookings may be sold at a discounted package rate.
Individual days within a discounted full-week package are not normally transferable or refundable separately.
Any exception is at Fit4Fun's discretion and does not alter the pricing structure applying to future bookings.
7. Term-Time Clubs
Term-time clubs are normally booked as a course or block of sessions.
Refunds or credits are not normally provided when a child misses a session because of:
- illness;
- appointments;
- holidays;
- school absence; or
- other personal circumstances.
8. Cancellation by Fit4Fun
Where Fit4Fun cancels a session and cannot provide an appropriate replacement session, venue or equivalent service, customers will normally receive a refund or appropriate credit for the service not provided.
Consumer guidance generally expects advance payments to be refunded where a childcare service cannot be provided by the business.
Fit4Fun is not responsible for indirect costs such as alternative childcare arrangements, travel or lost earnings except where liability cannot lawfully be excluded.
9. School or Venue Changes
Schools occasionally require facilities because of:
- performances;
- examinations;
- school events;
- maintenance;
- trips;
- severe weather; or
- circumstances outside Fit4Fun's control.
Where possible, Fit4Fun may:
- use an alternative space;
- provide an alternative activity;
- move the session; or
- rearrange the session.
Where the contracted service can still reasonably be provided, these changes will not automatically result in a refund.
10. HAF-Funded Places
HAF places booked through EEQU are subject to relevant local-authority eligibility and programme requirements.
HAF places:
- have no cash value;
- cannot normally be transferred to an ineligible child;
- must be booked using accurate eligibility information; and
- should be cancelled promptly if no longer required so that funded places can be offered to another family.
Repeated non-attendance may be reported through the appropriate HAF administration arrangements.
11. Illness
Children should not attend where they are too unwell to participate safely or where attendance would present an unreasonable infection risk to others.
Fit4Fun may ask a parent or carer to collect an unwell child.
Normal cancellation terms apply to illness unless Fit4Fun agrees otherwise.
12. Behaviour
Children are expected to follow reasonable instructions and Fit4Fun's Code of Conduct.
Fit4Fun will normally work with the child, parent and, where applicable, school to address behaviour concerns.
Fit4Fun may suspend or remove a child where behaviour:
- places themselves or another person at risk;
- involves violence, serious bullying or discriminatory abuse;
- repeatedly disrupts the safe running of sessions; or
- continues despite reasonable interventions.
Serious incidents may result in immediate removal.
A refund will not normally be provided for sessions lost following suspension or removal resulting from serious or persistent breaches of behaviour expectations.
13. Collection
Children will only be released in accordance with the collection arrangements provided by the parent/carer and Fit4Fun procedures.
Parents must notify Fit4Fun if another person is collecting.
Persistent late collection may result in additional action or charges where these have been communicated in advance.
14. Personal Property
Children should avoid bringing unnecessary valuables.
Mobile phones, watches, tablets, games devices and other personal property are brought at the owner's risk.
Fit4Fun cannot accept responsibility for loss or damage unless caused by Fit4Fun's negligence.
15. Damage
Parents may be asked to meet the reasonable cost of deliberate or malicious damage caused by their child.
Normal wear and tear or accidental damage occurring during reasonable participation will not normally result in a charge.
16. Photography
Fit4Fun will use photographs and video in accordance with its Safeguarding and Privacy Policies and recorded parental permissions.
17. Safeguarding
Fit4Fun may take any action reasonably necessary to safeguard a child, including sharing information with a school, Children's Social Care, police, Ofsted or another appropriate organisation.
